5 Must-Haves for Document Management in Google Drive

Many G Suite users find themselves needing a streamlined workflow for handling documents and features specifically for work collaboration.

San Jose, CA, December 14, 2016 – Many G Suite users find themselves needing a streamlined workflow for handling documents and features specifically for work collaboration. It is possible to fully operate with your Google Drive and veer away from Google’s Team Drive limitation to only users in your organization. This limits collaboration with clients, company partners, and contractors. Here are the 5 must-haves for Document Management to operate on top of your Google Drive– all provided by Collavate.

1. Team Drive for everyone without limits

Google offers Team Drive for G Suite Business users and has limitations such as only allowing Team Drive for colleagues within the same domain. Collavate offers a Team Drive for everyone, including G Suite Basic and G Suite Business. A Collavate Workspace folder creates a Team Drive for whomever you’d like to invite with an email address– not limiting you to only users in your domain or organization.

2. Social project management

Document sharing, collaboration for work, and effective team communication is made easy with an Enterprise Social Networking platform. Collavate Group Post is designed to increase work productivity while accommodating user-friendly options. Public groups are viewable to all users in your domain which can broadcast information regarding a company event, news, and announcements to all users pertaining to the topic of the group. Private groups allow exclusivity of posts and collaboration for projects and department discussions.

3. Group Post

Collavate Group Post goes beyond a Slack Channel or a Facebook group’s service capabilities. Collavate’s Group Post features are specialized for team project management and document sharing. All shared files within the group is stored in a Google Drive group folder accessible to group members. An Admin of a Collavate group can send member invitations to any user with an email address.

4. Remote Drive User

Capability to invite users outside of your company as a remote user in Google Drive. Remote users can temporarily be a company staff user. A remote user will be able to have access to Collavate’s features in your domain, and all files the remote user shares and works on will be stored within your company’s Google Drive, permitting company ownership of files.

5. Contract management

With a streamlined approval process, contract management can be kept organized and can reduce financial risk. Manage contract creation, ensure proper execution and analysis to maximize operational performance, and share contracts made with customers, vendors, partners, or employees. Contract templates, expense reports, and financial statements can be be set as a template to be reused and duplicated by users to save time in drafting stages. A PDF with a cover page can be generated for contracts showing date of creation, approval timestamps, and comments made by contractor and contractees.

These beneficial features increase business productivity and operates with your Google Drive, allowing users and organizations to expand their work capabilities that rely on Google Drive. Collavate offers a powerful, streamlined workflow approval with additional collaboration features for work. Step-up your G Suite and Team Drive with Collavate!

Enterprise Document Management Discover a New Approach to Document Management

The Business Process Management BPM model requires a profound change in the way documents are managed, since it is not possible to accept a Document Management System that is independent from the processes that shape all company activity.

Woburn, MA, November 04, 2014 – AURA (www.auraportal.com), a global provider of AuraPortal Business Process Management (BPM) software, has announced that AuraPortal Helium integrates ECM (Enterprise Content Management) that offers one of the most complete systems for handling documents (electronic and physical) and Digital Content.

AuraPortal has been distinguished with great advantage over its competitors by Ovum in its Decision Matrix report and by other renowned analyst firms.

Through the Processes, Rules and Data Management systems, the software automates and optimizes the entire lifecycle: Capture and Creation, Storage, Flow, Access and Elimination allowing the secure and efficient management of all enterprise documentation, however complex the enterprise structure may be.

Pablo Trilles, Vice President of AuraPortal comments “Until now, document management has always been performed independently of the other company activities, but with a bit of perspective it is difficult to conceive a Digital Enterprise Content Management independent of the Management of the Company’s Operating Processes”.

Document Management forms part of a company’s daily activity, and therefore cannot be detached from the Processes it manages.

This is not just a question of Document Management having a workflow. On the contrary, the complete management of documents must be incorporated within the Business Process Management (BPM), using its enormous power to execute and control the company’s overall Operating Processes and also manage and control Digital Content and Documents:

– Archives
– Approvals
– Versioning
– Electronic Invoicing
– Digital signature
– Subscriptions for notification of changes
– Search by content
– Discussions
– Surveillance
– Tracing for Audit
– Content Publication
– Etc.

Efficiency undiscovered until now.

Cloud Content Delivery by Collaboration

Netkiller present Cloud Document Management

San Jose, CA, February 21, 2013 – Cloud platform is now gradually becoming a mega trend and it is essentially changing the way people go about collaboration their personal as well as professional information with colleagues.

Amidst all of this, Netkiller has realized that people are now using the cloud platforms to write, send and receive documents and emails and so they have introduced a new secure and easy way to manage these cloud documents and submit them on a workflow so people can collaborate seamlessly.

netkiller_Docs is one of its kinds as there is no other which can manage the collaboration as well as the documents that are present in a cloud. With this application, you will be able to do cloud collaboration and take care of document workflow without hassle so that it can be integrated with the Google cloud platform. netkiller_Docs works well with Google Apps and Gmail and is available to all its users.

* Intro Video: https://www.youtube.com/watch?v=7i1zpCSosUQ

For starters, netkiller_Docs basically has two functions one of which is ‘Docs’ which provides an enhanced view of Google drive. Because of this feature, the users will easily be able to find the shared document on the cloud. For instance, when you click ‘users’ from the organizational chart, it will show you the list of documents that have been shared with the selected user. This is why it becomes easier for you to find the updated versions and search the documents that you need according to the time frame that you have entered.

The other function which we were talking about earlier is the ‘Collavate’ which is essentially the combination of Collaboration and Innovation. The purpose or objective behind this function is to automate the business process and document life cycles. With this function, you will be able to send any document or files securely to any internal or external user to request an approval. This way, the document ownership will automatically be changed to the document manager (admin) and is then finally stored on Google drive.

Because this application is so diverse, it can be used for any kind or type of organization. Official documents, such as contracts, quotations and invoices can be submitted to the supervisors or clients for review. Once the individual has reviewed the documents, they can be officially approved or returned with comments. These documents, once approved will then be processed and archived on the admin’s Google Doc.

Given below are several examples of how you can use netkiller_Docs to your benefit.

1. Attorney/Legal Services: Legal documents are easily managed on Google drive so you can send it to review and sign from the client. Once these are approved, they can be processed.

2. Media: With this application, journalists can write an article and submit it to a desk and they can be sent to the press in real time after they have been reviewed and edited.

3. Schools: Reports or essays can be submitted to the instructors and then either confirmed or returned with comments. All the confirmed documents are then recorded and archived on the instructor’s Google drive.

If you want proof of the success of netkiller_Docs, you can read about the thousands of reference customers that the application has since its launch. For example, MS autotech now uses netkiller_Docs for their 300 staffs to manage the cloud documentation and confirm to share only with the authorized persons. Also, ChosunBiz benefits from it by sending an article to the desk and keeps track of changes and send it to the press over two years.

Because netkiller_Docs has been secured by the Google Cloud Platform, which is certified by SSAE, 16 Type II and ISAE, 3402 Type II Standards, it is as secure as you can get. Moreover, netkiller_Docs is the ‘pure Google Apps Solutions’ and so it does not store any of the user’s Google Docs within the Google Apps.

The Real Story Group says Document Management & ECM markets have split

London January 7, 2011

Moving into 2011, the Enterprise Content Management (ECM) technology marketplace has split into two distinct and separate segments, according to buy-side analyst firm, The Real Story Group (formerly CMS Watch).

ECM Infrastructure Vendors, that position their platforms as a set of lower-level technology services to manage high-volume, process-centric needs, such as processing insurance claims.

Document Management Application Vendors, that configure their products to accommodate specific needs.

ECM infrastructure deals are large, but less common, as complexity and cost limit their appeal and usefulness. ECM infrastructure vendors Autonomy, Oracle, OpenText, IBM, and EMC have been acquisitive and are likely to remain so in 2011. As a result, these vendors often represent a relatively higher risk to buyers (see Cross-Check chart, below).

In contrast, the marketplace for departmental and process-specific Document Management products is a blend of a diverse set of players, ranging from vertical and horizontal options (e.g., patient billing in healthcare), to broader, open source and low-cost cloud offerings. Example vendors include Hyland in the US, Perceptive in Australasia, and Fabasoft in Germany. With mature product and service offerings and strong vertical expertise, these vendors often represent a relatively lower risk for buyers.

Designed to supplement functional and cost/value analyses in any major procurement decision, The Real Story Groups Cross-Check charts denote buy-side risk, measured in four key dimensions:
• Size Denotes the relative size and importance of the vendor in that technology marketplace
• Focus on ECM Indicates how much of the firms efforts are focused on document and records management
• Vendor Evolution Weighs the current pace of change within the vendor itself
• Product Development Weighs the current pace of change for the solution
